Top Accountabilities

Quality and food safety programme planning and scheduling

  • Discussing changes with the immediate supervisor and seeking guidelines on the alignment of systems and controls, revision of procedures or introduction of programmes to comply with Quality and food safety standards.
  • Interpreting or obtaining guidelines from Regulatory Bodies and Government Departments on the obligations of the organisation to implement specific requirements in relation to systems and controls.
  • Profiling Quality and food safety risks referring to Plant inspections reports and accident/ incident trends and proceeding to update the key indicators and actions of current Quality and food safety  Plans and submits for approval.
  • Mapping out programme interventions and activities, timelines and costs and submitting the Quality and food safety Training and Awareness Programme Schedule for approval by the Technical Services Manager.
  • Preparing the required communication for approval by the immediate supervisor prior to circulating to departments to inform management and employees of the approved scheduled programmes and audit and inspection timelines.
  • Create the schedule for internal Audits setting out the audit intervals and timing to conduct, complete and report on the audit findings.
  •  Executing the responsibilities as Pest control site coordinator through ensuring interventions are undertaken and completed to an acceptable standard.

Quality and food safety  programme implementation and procedural checks, review and validation

  • Presenting specific Quality and Food Safety training Programmes to employees, management and stakeholders (i.e. standards, specifications and procedures, incident management, etc.).
  •  Confirming specific subject matter training with specialist external service providers approved by the Manager proceeding with attending to the logistical arrangements and finalisation of date, attendees, etc.
  • Reviewing and preparing changes to forms and documents i.e. registers, inspection checklists, etc. to accommodate quality l legislative and regulatory requirements and Food safety  procedures relating to the inspections, investigation and incident reporting and, obtaining approval prior to circulating updated versions to Departments for implementation.
  • Checking the installation or replacement of environmental and quality signage and instructions at the various sites on plant and, validates the information conforms to the legislative requirements and regulations and/ or standards.
  • Checking, validating or recommending revision of Standard Operating Procedures to comply with Quality and food safety procedures.
  • Conducting checks to determine the validity of Contractor registration certificates and permits in accordance the provisions or specific Quality procedures and food safety and practices.

Site inspections and audits

  • Conducting site visits to observe and validate procedural compliance in terms of practices and applications executed when performing activities.
  • Collecting results from various control points in relation to emissions and discharges and/ or interpreting the outcomes of technical studies conducted by specialist service providers with a view to discussing and obtaining guidelines on the prioritization of corrective actions/ measures.
  • Conducting inspections of waste separation and disposal procedures to evaluate conformance with standard operating procedures.
  • Applying audit procedures to check, inspect and verify deviation/ conformance in practices, applications and actions and proceeding to prepare and submit outcomes and recommendations to the Manager; for approval prior to circulation.
  • Raising Non Conformance Reports (NCR) on the system to indicate deviations and following up on the relevance and adequacy of implemented corrective measures.

Incidents and investigation applications

  • Executing delegated responsibilities during Quality and food safety Non-Conformance investigations and, proceeding to organise and arrange internal incident management teams or external specialists to manage and control risks.
  • Monitoring the execution of the incident management activities or investigation process into non-conformance and updating/ reporting to the Manager; and/ or Line Department Management on the status and progress and/ or the need for management intervention to address bottlenecks/ challenges.
  • Monitoring the implementation of approved remedial measures and preventative actions to overcome quality related non-conformance and providing feedback to the Manager Quality and food safety n the effectiveness.
  • Attending to the requirements relating to statutory inspections conducted by the local authority and interacting and engaging with the Inspectors on findings and notices issued and proceeding to communicate outcomes to the Manager Technical services Manager for further action or, provision on guidelines on the appropriate steps/ measures or actions needing execution.

Administration and meetings

  • Maintaining records on the Quality and food safety Management System referring to source documents, inspection reports, etc. to update training, incidents, observations, investigational outcomes, etc.
  • Consolidating statistical and other activity related information and using report writing tools to merge, format and create and submit reports depicting trends, corrective actions and results.
  • Preparing qualitative audit reports to outline audit procedure, findings and recommendations and submits to the Manager; Q&F prior to circulating to the relevant line departments.
  • Preparing notices, circulars, draft minutes and presentation material and proceeds to edit and amend content in accordance with instructions or information from the Manager;
  • Completing forms and other related procedural documentation i.e. requisitions or work orders, etc. and submitting for authorization prior to communicating the approval to external service providers
  • Attending Working Group meetings and presenting, explaining, elaborating on concepts, results and processes relating to Quality and Food safety Procedures and legislations.
  • Attending specific Committee meetings and presenting approved statistical information on quality and food safety incidents or inspections and the status of corrective actions/ measures.
  • Maintaining and updating recordkeeping systems i.e. hardcopy and electronic files of inspection registers, checklists, applications, certificates and licenses and revised procedures.

Qualifications and Experience

  • Tertiary qualification in Food science and or Chemistry
  • Completed Certification Courses in Quality Management Incident Management or other relevant courses.
  • At least 3 to 4 years’ experience in the quality and food safety management processes and practices within a large industrial plant or manufacturing site.
  • Computer skills/literacy in MS Office Suite.
  • Tertiary qualification in Food science and or Chemistry
  • Completed Certification Courses in Quality Management Incident Management or other relevant courses.
  • At least 3 to 4 years’ experience in the quality and food safety management processes and practices within a large industrial plant or manufacturing site.
  • Computer skills/literacy in MS Office Suite.
  • Excellent interpersonal skills.
  • Attention to detail and accuracy and the ability to present quality, reliable and factual results.
  • Strong communication skills, both written and verbal.
