IZI South Africa, a leading provider of integrated cash management solutions, has a vacancy for a Planner based at our operations in Port Elizabeth, reporting to the Branch Manager. We encourage applications from all suitably qualified candidates; however, South African citizens will be given preference.

Job Summary:

The Planner is responsible for the efficient daily planning, coordination, and execution of operational schedules, ensuring optimal efficiency, security, and compliance. This role encompasses comprehensive resource allocation, supervision of operational staff, client liaison, and administrative duties related to scheduling and service management.

Key Performance Areas (KPAs):

Operations Planning and Coordination

  • Take full responsibility and accountability for effective planning and coordination of operations.

  • Plan routing and scheduling activities accurately.

  • Prepare daily duty lists by allocating vehicles, drivers, and crews for scheduled tasks.

  • Manage vehicle route plans, identifying the most economical and efficient routes.

  • Allocate resources based on individuals’ competencies to ensure smooth execution of plans.

  • Identify high-risk schedules and assign the most suitable vehicles to maximise protection, arranging backups where necessary.

  • Plan proactively for public holidays and periods of disruption.

  • Coordinate bulk banking vehicles each morning for same-day operations.

  • Liaise with bank Cash Centres to confirm clearances for the following day.

  • Compile schedules of additional services to be included with the daily vehicle schedules.

  • Coordinate with planners and controllers from other branches for services requiring inter-branch collaboration.

  • Notify the Counting House and Box Room of any service changes over holiday periods.

Casual Services Management

  • Monitor and control casual services to be performed.

  • Ensure written confirmation is obtained from clients.

  • Confirm service pricing with the Sales department.

  • Record services accurately in the Casual Service Book.

  • Complete Casual Service Advice forms and hand them to Controllers for execution.

  • Ensure clients are invoiced promptly upon service completion and record the invoice number in the Casual Service Book.

Administration, Systems, and Reporting

  • Manage control room reports and records on a daily, weekly, and monthly basis.

  • Review and sign off control room occurrence books daily, ensuring any failed services from the previous day are promptly addressed by the radio controller on shift.

  • Record discrepancies related to customer orders accurately.

  • Oversee the recording of all incidents, including accidents and robberies.

  • Prepare weekly schedules for vehicle servicing and COF (Certificate of Fitness) tests.

  • Manage the scanning and tracking systems, including E-Viper.

  • Add new customers to the E-Viper system and update all customer movements, including terminations.

  • Record planned schedules on E-Viper and make daily amendments as required.

  • Distribute client codes to the Sales department and other relevant teams based on new contracts and planned schedules.

  • Provide relief cover for Controller duties as required.

Staff Management and Supervision

  • Manage and conduct briefings and debriefings for crews.

  • Supervise all crew members, drivers, and controllers, ensuring all planning functions are executed correctly and report findings accordingly.

  • Monitor and manage driver and crew overtime.

  • Ensure all drivers, crews, and custodians are professionally attired and equipped with necessary protective gear.

  • Ensure staff are trained on standard operating procedures and policies relevant to route planning and operational processes.

  • Prepare day-off rosters for road crews.

  • Manage controllers’ shift schedules.

  • Report absenteeism and leave to HR Administration to facilitate appropriate resource allocation.

  • Prepare disciplinary documentation when necessary.

Technology Management (Mix Telematics and Easy Roster)

  • Ensure all vehicles are monitored and that equipment is fully operational.

  • Issue driver tags to all drivers.

  • Manage staff attendance using Easy Roster software.

Client Liaison and Query Resolution

  • Investigate and resolve service queries, complaints, and client enquiries promptly.

  • Visit clients’ premises alongside sales staff as required.

  • Collaborate with Sales, Operations, and Administration teams to address and resolve issues.

  • Ensure follow-up is confirmed with clients.

  • Handle all customer enquiries related to planned schedules professionally.

Health and Safety

  • Contribute to the design, development, review, implementation, and monitoring of departmental safety plans annually.

  • Participate actively in company safety forums, including meetings and safety talks.

  • Report all safety incidents to the appropriate personnel promptly.

  • Discuss and review safety incidents to identify improvements.

  • Follow up on actions arising from safety meetings, committees, representatives, or management.

  • Attend safety education and refresher programmes regularly.

  • Comply fully with all workplace safety policies and procedures.

  • Distribute safety information as required.

  • Wear protective clothing at all times whilst on duty.

Qualifications and Skills:

Education and Certification

  • Grade 12 (Matric)
  • PSIRA Grade C & Cash-in-Transit (CIT) training
  • Firearm Competency Certification for Handgun, valid for business purposes

Background and Legal Standing

  • Not a director of any registered business
  • Clean credit record (no adverse listings)
  • No criminal record
  • No history of dismissal from previous employment

Experience and Skills

  • Proven experience in planning, scheduling, logistics, or a similar operations coordination role, preferably within a high-security environment such as cash services, security, or transportation.
  • Strong geographical knowledge and advanced route planning skills.
  • Proficiency in scheduling software (e.g., Easy Roster) and tracking systems (e.g., E-Viper, Mix Telematics).
  • Excellent organisational, administrative, and report-writing skills.
  • Demonstrated leadership and supervisory capabilities with experience
