Job Overview:

The Night Audit Receptionist is responsible for ensuring the smooth operation of the Front Office during overnight hours while delivering exceptional guest service. This role combines traditional reception duties with night auditing responsibilities, ensuring that all daily financial transactions are accurately reconciled, reports are generated, and guest needs are attended to professionally throughout the night.

The Night Audit Receptionist serves as the primary point of contact for guests during overnight hours and plays a critical role in maintaining security, operational continuity, and financial accuracy.

Guest Services

  • Welcome and assist guests in a professional, friendly, and efficient manner.
  • Conduct guest check-ins and check-outs according to company standards.
  • Respond to guest queries, requests, and complaints promptly and effectively.
  • Maintain a high level of guest satisfaction by providing personalized service.
  • Handle reservations, amendments, and cancellations when required.
  • Ensure all guest information is accurately captured and maintained.

Night Audit Duties

  • Perform the daily night audit process and reconcile all hotel transactions.
  • Verify and balance room revenue, food and beverage revenue, and other departmental postings.
  • Ensure all guest charges are accurately posted to accounts.
  • Identify, investigate, and report any discrepancies.
  • Generate and distribute daily financial and operational reports.
  • Complete end-of-day procedures in accordance with company policies and deadlines.
  • Prepare shift handover reports for management and day staff.

Front Office Administration

  • Maintain accurate guest records and registration details.
  • Process payments, refunds, deposits, and account settlements.
  • Ensure cash handling procedures are followed at all times.
  • Balance cash floats and reconcile daily receipts.
  • Manage switchboard and communication systems during the night shift.
  • Assist with reservation administration when required.

Security and Safety

  • Conduct regular property walkabouts as required.
  • Monitor guest and staff access during overnight hours.
  • Report any suspicious activity, incidents, or maintenance concerns.
  • Follow emergency procedures and assist during incidents when necessary.
  • Ensure compliance with health, safety, and security standards.

Operational Support

  • Liaise with housekeeping, maintenance, security, and management teams regarding overnight matters.
  • Record and communicate operational issues requiring follow-up.
  • Support the Front Office Lead in maintaining efficient front office operations.
  • Assist with special projects and operational tasks as required.

Qualifications

  • Grade 12 / Matric.
  • Hospitality or Tourism qualification advantageous

Knowledge and Experience

  • Minimum 2 years' experience in a Front Office, Reception, or Night Audit role.
  • Experience within a hotel, lodge, resort, or hospitality environment preferred.
  • Previous experience using a Property Management System (PMS).
  • Understanding of Front Office operations.
  • Knowledge of night audit procedures and financial reconciliations.
  • Basic accounting and cash handling principles.
  • Knowledge of reservation processes and guest service standards.
