We are looking for a detail-oriented and highly organized Administrative Assistant to join our team. This role provides essential administrative support across multiple business functions, ensuring smooth workflow, accurate documentation, and excellent communication with customers and internal departments.

 

Key Responsibilities

Debtors Administration

  • Assist with debtor account management and follow-ups
  • Support collections processes and maintain accurate debtor records
  • Reconcile account information and help resolve discrepancies

WCD (Workflow Control Documents) Management

  • Scan and electronically file WCDs
  • Verify accuracy and completeness of all documentation
  • Assist in processing and closing open WCDs
  • Track, monitor, and maintain documentation in an organized manner

Sales & Order Processing

  • Capture and process sales orders accurately
  • Ensure all supporting documentation is complete and correctly filed
  • Liaise with internal departments to resolve order-related queries

Customer Communication

  • Contact customers to confirm or update information
  • Follow up on outstanding documentation or queries
  • Deliver professional, courteous customer service at all times

Document & Records Management

  • Perform physical and electronic filing tasks
  • Maintain and update records within the M-Files system
  • Ensure documents are properly categorized and easily accessible

RUC Planning Support

  • Assist with RUC planning activities
  • Prepare and update relevant planning documentation

General Administrative Support

  • Provide administrative assistance across the branch
  • Support daily operational needs as required

Requirement 

  • 1–3 years of administrative experience
  • Strong computer literacy (MS Office, data entry systems, etc.)
  • Excellent attention to detail and organizational skills
  • Strong communication and interpersonal abilities
