Work pattern:    Tuesday:             08.30 – 18.00 (Vanbase am, Carbase pm)

                        Wednesday:        10.00 – 19.00

                        Thursday:            10.00 – 19.00

                        Friday:                  08.30 – 18.00 (Vanbase am, Carbase pm)

                        Saturday:             08.30 – 18.00

We are looking for a proactive and detail-oriented Sales Administrator to join our busy team. In this role, you will work closely with our Sales Consultants and Handover Teams, ensuring sales forms, invoices, and vehicle documentation are processed efficiently to keep the flow of sales moving seamlessly for our customers.

This is a diverse and rewarding role that will require you to work onsite across both our Carbase Bristol and Vanbase Avonmouth locations. It is an excellent opportunity for someone who thrives in a fast-paced environment and is looking to build or further develop their career within the motor industry.

Key responsibilities:

  • Carrying out key vehicle admin tasks such as V5 scans, handover sheets, checklists, and preparing handover boxes
  • Overseeing administration across multiple sites, including weekly travel to our Avonmouth branch for team support and operational efficiency
  • Booking in part-exchanges and managing the OOB process (including paperwork preparation, refund sign-off, and customer liaison)
  • Contacting customers for unsigned or missing documentation
  • Keeping internal systems such as Google Sheets and Navigator up to date and accurate
  • Setting up RAC warranties, GAP policies, and Paint Protection products
  • Actioning marketing updates where appropriate
  • Reconciling sales across Navigator and Google Sheets
  • Completing HPI checks and managing delivery schedules for vehicles across sites

Person Specification:

  • Strong attention to detail and the ability to prioritise workload effectively
  • Excellent communication and interpersonal skills
  • Confident working independently and as part of a team
  • A hands-on, proactive approach with a willingness to support others when needed
  • Good IT skills, particularly in Microsoft Word, Excel, and Outlook
  • Understanding of confidentiality and data protection principles
