Salary: £26,640 per annum

40 hours per week. 8.30am to 5pm

We are looking for a reliable Arrivals Administrator to join our busy Arrivals team at our Car Preparation site. In this central role, you’ll work closely with our workshop and logistics teams to ensure vehicles move seamlessly from arrival to delivery.

You’ll be responsible for coordinating vehicle logistics, preparing documentation, maintaining records, and supporting various admin functions. If you're looking for a dynamic position where no two days are the same, this is a fantastic opportunity to grow your administrative skills.

Key responsibilities:

  • Assist with a variety of day-to-day administrative tasks to support the smooth running of the prep centre.
  • Maintain accurate and up-to-date electronic and paper vehicle records.
  • Prepare and process invoices for repair work, and support weekly accounting for multiple third-party contracts.
  • Communicate with third-party suppliers and dealerships to schedule vehicle repairs and recalls.
  • Monitor vehicles in transit, ensuring timely check-ins and release of vehicles from storage.
  • Sort and distribute incoming and outgoing post.
  • Order and manage office supplies to ensure the team is always equipped.
  • Assist the vehicle arrivals team outside in the checking in of new stock when needed
  • Collaborate with other admin teams to ensure cohesive operations across the centre.
  • Ensure that all documentation is completed accurately and submitted on time.

Person Specification:

  • Strong attention to detail and the ability to prioritise workload effectively.
  • Excellent verbal and written communication skills.
  • Confident working independently and as part of a team.
  • A proactive, hands-on approach to tasks and a willingness to support others as needed.
  • Good IT skills – proficient in Microsoft Word, Excel, and Outlook.
  • Understanding of the importance of confidentiality and data protection.
