Job Title: Team Personal Assistant

Location: Manchester (office-based)

Hours: 21 hours per week (across 3, 4, or 5 days)

About the Role

This is an exciting opportunity for a highly organised and proactive individual to provide comprehensive administrative support within a dynamic and fast paced business environment.

The successful candidate will play a key role in ensuring the smooth day to day running of administrative functions, contributing to the overall efficiency and effectiveness of the team.

Key Responsibilities

  • Manage team calendars, including scheduling meetings, appointments, and events.
  • Coordinate with internal and external stakeholders to ensure efficient scheduling and avoid conflicts.
  • Support the organisation of internal and external events, including team gatherings and networking functions.
  • Arrange logistics such as venue bookings, catering, and guest communications.
  • Maintain accurate records within CRM systems (e.g., HubSpot or similar platforms).
  • Input and update contact information and log relevant interactions.
  • Oversee general office administration, including handling passes, mail, and other operational tasks.
  • Ensure the smooth day?to?day running of office activities.
  • Update compliance information across relevant systems.
  • Assist with administrative processes, including document formatting and template updates.
  • Generate and distribute regular reports to stakeholders.
  • Obtain physical signatures and provide supporting documentation such as registers and official records as required.

Key Skills and Experience

  • Previous experience in a similar administrative or support role.
  • Excellent organisational and time?management skills.
  • Strong attention to detail and accuracy.
  • Proactive approach with a positive, "can do" attitude.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office and CRM systems.
  • Ability to manage multiple tasks and prioritise effectively.
  • High level of discretion and ability to handle confidential information appropriately.
