The Inventory Clerk is responsible for the accurate execution of inventory transactions, stock reconciliations and inventory administration to support effective inventory control across the warehouse operation.

The role is accountable for processing inventory movements, maintaining accurate inventory records, supporting cycle count programmes and ensuring inventory documentation is complete, accurate and up to date. Working closely with the Inventory Controller and Warehouse Operations teams, the Inventory Clerk ensures that all inventory transactions are processed timeously and accurately, enabling reliable inventory reporting and supporting efficient warehouse operations.

The incumbent contributes to inventory integrity through disciplined transaction processing, attention to detail and compliance with inventory control procedures, while supporting continuous improvement in inventory accuracy, operational efficiency and stock governance.

Key Accountabilities and Outputs

Inventory Administration

  • Process inventory transactions accurately and within agreed service levels.
  • Maintain complete and accurate inventory records in accordance with company standards.
  • Prepare and maintain inventory documentation to support operational and audit requirements.
  • Ensure inventory documentation is filed and readily available for operational use.
  • Verify inventory documentation for completeness and accuracy before processing.
  • Support inventory reporting through accurate administrative processes.
  • Promote disciplined inventory administration and record management practices.

Inventory Transactions

  • Process goods receipts, stock transfers, returns, adjustments and inventory movements accurately.
  • Capture inventory transactions within ERP and Warehouse Management Systems in accordance with established procedures.
  • Validate transaction accuracy before processing and resolve routine transaction queries.
  • Monitor outstanding inventory transactions and ensure timely completion.
  • Escalate transaction discrepancies or system issues to the Inventory Controller.
  • Maintain accurate inventory transaction records to support stock integrity.
  • Ensure inventory transactions comply with company policies and operational controls.

Cycle Counts & Stock Verification

  • Participate in scheduled cycle counts and inventory verification activities.
  • Prepare inventory documentation required for cycle counts and stock takes.
  • Record stock count results accurately and reconcile variances where appropriate.
  • Assist with the investigation of inventory discrepancies and stock losses.
  • Support annual and ad hoc stock take activities.
  • Escalate material inventory variances for investigation.
  • Promote inventory accuracy through disciplined counting and verification processes.

Inventory Reconciliation & Reporting

  • Reconcile inventory records against physical stock counts and system balances.
  • Investigate routine inventory variances and prepare supporting documentation.
  • Assist with daily, weekly and monthly inventory reporting requirements.
  • Support preparation of inventory variance reports and reconciliation schedules.
  • Monitor inventory adjustments to ensure they are appropriately authorised.
  • Provide accurate inventory information to support operational decision-making.
  • Assist with maintaining inventory performance records and reporting metrics

Systems & Data Integrity

  • Maintain accurate inventory information within ERP and Warehouse Management Systems.
  • Validate inventory master data and report discrepancies where identified.
  • Ensure inventory records remain accurate, complete and current.
  • Support data integrity through disciplined transaction processing and system controls.
  • Assist with testing and implementation of inventory system enhancements where required.
  • Maintain confidentiality and integrity of inventory information.
  • Promote accurate inventory data across all warehouse processes.

Compliance & Operational Support

  • Comply with inventory control procedures, company policies and operational standards.
  • Support inventory audits, compliance reviews and stock investigations.
  • Ensure inventory activities comply with safety, quality and food safety requirements.
  • Assist Warehouse Operations with inventory-related queries and operational support.
  • Identify inventory process improvement opportunities and communicate recommendations.
  • Maintain high standards of accuracy, housekeeping and document control.
  • Support continuous improvement initiatives that strengthen inventory governance.

Stakeholder Support & Teamwork

  • Build effective working relationships with Warehouse Operations, Planning, Manufacturing and Customer Service teams.
  • Provide administrative and analytical support to the Inventory Controller.
  • Respond to inventory-related queries professionally and within agreed service levels.
  • Collaborate with warehouse personnel to resolve routine inventory issues.
  • Support cross-functional activities that improve inventory accuracy and operational performance.
  • Share relevant inventory information with stakeholders to support operational decision-making.
  • Contribute to a collaborative, customer-focused and high-performing Supply Chain team.
