INVENTORY CONTROLLER 

Operations 

 

Accountable for specialist outputs and initiating changes in policies, procedures, standards and services within inter-related functional areas of responsibility. This role will work with various closely related concrete variables, requiring an understanding of the theory or practices underpinning inter-related functional processes. 

 

Job Purpose 

 

The purpose of this role is  to oversee the management of inventory (including raw materials, work in progress, finished goods and maintenance spares) from a Finance perspective, whilst ensuring inventory levels are optimised to reduce impact on working capital.  This role is crucial in ensuring inventory losses are understood, properly accounted for and kept to a minimum. 

 

Key Accountabilities and Outputs 

 

Inventory Control  

  • Conduct daily monitoring of national inventory levels and planning of inventory movements within the region 

  • Determine, control and maintain optimum levels of inventory coverage to avoid lost sales or over stocking 

  • Ensure inventory levels held are optimised, with a focus on balancing working capital reduction and the ability to meet customer demands and avoid stock-outs. 

  • Continuously compare actual stock days vs targets set and highlight issues, as well as have plans in place to fix accordingly. 

  • Plan and coordinate inventory valuations across the region and partner warehouses 

  • Control all inventory adjustments made within the ERP 

  • Optimise the inventory flows to minimize stock losses and damages. 

  • Monitor inventory losses and develop suitable processes to reduce such losses. 

  • Work closely with Operations, Supply Chain  and Finance teams to ensure system and process readiness prior to monthly stock counts 

  • Attend stock counts and escalate issues and constantly identify areas of improvement 

  • Proactively monitor and address ageing time-sensitive inventory by working closely with the Regional Operations and Logistics to reduce losses. 

  • Report on inventory levels, values and general movements. 

  • Work closely with both Financial Business Partners to align, optimise and standardise inventory management processes. 

  • Work closely with Regional Operations and Logistics Managers to optimise storage layouts, bin planning & inventory identification. 

  • Perform random audits on warehouses, Third Party Manufacturer and Partner to observe warehouse inventory levels and inventory condition to ensure requirements per SLAs / contracts / procedures are met. 

  • Be the custodian of the “Inventory” module within the ERP in so far as inventory movements are concerned. 

  • Ensure integrity of ERP inventory level data to real world inventory status. 

  • Work closely with the Senior Cost Accountant to ensure inventory master data is accurate for the Region.

  • Adherence to Standards: Ensure strict adherence to Quality, Food, Health, Safety and Environmental policies and standards. 

  • Enforcement: Enforce all food safety and health regulations, policies, and requirements at all times to guarantee a secure work environment. 

  • Personal Hygiene: Maintain exceptional personal hygiene as per the organization’s code of conduct. 

  • Contamination Control: Raise awareness about potential physical product contamination and implement control measures to prevent it. 

  • Health and Safety Measures: Take reasonable precautions to prevent health and safety hazards. Follow the prescribed incident reporting procedure in case of accidents. 

  • Knowledge and Compliance: Stay updated with relevant business information, policies, processes, and procedures. Enforce compliance with legislative and statutory requirements, as well as GMP’s (Good Manufacturing Practices). 

  • Training: Attend and enforce the implementation of learnings from training sessions related to Quality, Food Safety, and Health and Safety. 

  • Housekeeping: Maintain high levels of cleanliness and orderliness within the work environment. 

 
 

Qualifications and Experience 

 
  • Grade 12 / Matric / NQF level 4 (Essential) 

  • Up to 4 years experience (Operational Execution) Computer Skills; Stock control;
