KEY OUTPUTS:
- Qualifying and distribution of all incoming reservation requests for the Lodge Reservations and Inbound Teams, and assisting with unassigned tickets in various reservations teams (rotational basis)
- Checking availability and holding space for new requests
- Assisting Travel Specialists with WETU itineraries
- Checking for Trade Conflict, prior to holding space for new requests
- Cancelling of reservations
- Chasing provisional reservations
- Sending lodge daysheets for the consultants, if required for last minute bookings and ensuring the information received by the &Beyond Lodges is correct
- Sending weekly administration reports to assist team on bookings travelling, outstanding
- payments, provisional bookings.
- Assisting with updating GIS for the consultants, if required and ensuring the information is loaded correctly
- Consistent and clear communication daily with reservations team and suppliers
- Reconfirmation of consultant files
- Sending reconfirmations and vouchers and ensuring what has been confirmed to the agent or guest matches the final itinerary/confirmation
- What has been booked in Tourplan matches the confirmation sent to suppliers and matches the supplier invoices
- Checking Tourplan has been updated with guest information and flight details
- Checking and updating pick up and drop off details and all services booked correctly
- Upholding the values of &Beyond ... Care of the people, Care of land and Care of the wildlife
KNOWLEDGE REQUIRED:
- Understanding of travel industry
- Some understanding of a reservations environment is advantageous
- Computer literate with basic knowledge of Outlook, Word and Excel
- Knowledge of Tourplan advantageous or any other reservations system
QUALIFICATIONS REQUIRED:
- Tourism/Travel-Related Qualification (degree/diploma)
- 1- 2 years administration experience
SKILLS REQUIRED:
- Communication skills and a good command of the English language both written and oral
- Time & desk management with a focus on organizational ability
- Attention to detail
